Ministry Assistant

The Billy Graham Evangelistic Association of Canada (BGEAC) is seeking an experienced Ministry Assistant to join our team.

The Billy Graham Evangelistic Association is well known for the powerful evangelism and outreach ministry of our founder, Billy Graham. His mission is our mission: “Proclaiming the Gospel of the Lord Jesus Christ to all we can by every effective means available to us, and equipping others to do the same.”

As a Ministry Assistant, you will perform administrative and organizational tasks to support and provide assistance to the Ministry Team. This role will be cross trained to support other Ministry Assistants in the preparation and execution of events and will contribute to the department’s overall productivity and efficiency. As an integral member of the Ministry Team, this role will help BGEAC Canada carry out its mission and objectives through participation in daily prayer ministry.

The successful candidate will fulfill a full-time one-year contract position in the Calgary head office. This position includes benefits of life insurance, medical/dental and short term/long term disability and 15 days of vacation per year to start.

 Key responsibilities include but not limited to:

  • Respond to inquiries from donors, staff and vendors in a professional and courteous manner
  • Maintain appropriate record keeping systems, handling sensitive information with care and confidentiality as per organizational policies and procedures
  • Assists with the planning, coordination and scheduling of events as needed to support the BGEAC ministry team.
  • Work with the team to complete timely and accurate database functions, such as: database clean up, research, and verification of current data and coding; compiles statistics and produces reports as required
  • Support the proactive obtainment and entry of new and incomplete church and pastoral staff data; reaches out to potential partners to verify and update existing data
  • Compile and coordinate financial information for processing, including but not limited to purchase orders, invoices, payments, expense reports and travel authorizations
  • Assist with the processing of follow-up cards and materials, and volunteer applications, to ensure complete information for sufficient and effective communication
  • Liaises with the Donor Ministry team to coordinate supplies for event offerings, ensuring that processes and procedures are supported for the collection and reconciliation of the funds collected
  • Coordinates in-office volunteers for the purpose of supporting Celebration event preparations through outgoing communications and informational packages and facilitating and/or assisting with in-house mailings as requested
  • Works with the team to organize display and conference booth materials; assists with the set-up, preparation, and follow-up activities for BGEAC initiatives

Qualifications:

  • Qualified applicants must be committed to Christian values and precepts and be in agreement with BGEAC Statement of Faith
  • 1-3 years’ experience in an administrative role
  • Event coordination experience is considered an asset
  • Experience working with or leading volunteer teams is considered an asset
  • Proficient in Microsoft Office Suite
  • Excellent data handling abilities and phone etiquette
  • Excellent organizational, administrative, problem solving, and self-direction skills
  • Work effectively to serve, individually and as part of a team, in a fast-paced environment with competing priorities
  • Detail oriented with an eye for accuracy
  • Proven ability to effectively manage multiple tasks simultaneously in a fast-paced environment
  • Superior communication and customer service abilities, both verbal and written
  • Ability to travel occasionally within Canada and to the U.S.

Certificates, Licenses, Registration:

  • Valid Alberta Class 5 Driver’s License with access to a reliable vehicle
  • Valid passport with no travel restrictions
